HubSpot Email Signatures for Teams: One Consistent Signature on Every Rep's Sales Email

HubSpot leaves each rep to manage their own CRM signature. Here is how marketing and RevOps teams put one consistent, centrally managed signature on HubSpot sales emails, what that covers (and doesn't), and how to set it up in four steps.

HubSpot Email Signatures for Teams: One Consistent Signature on Every Rep's Sales Email

Last updated October 2026

TL;DR

  • HubSpot gives each user their own CRM signature, set under Settings > General > Email > Manage email signatures. There is no admin screen that pushes one design to the whole team, so signatures drift.
  • Scribe has no HubSpot app, and it doesn't need one. When a rep's Gmail or Microsoft 365 inbox is connected to HubSpot, HubSpot sends their sales emails through that mailbox. Scribe's server-side installation then adds the rep's managed signature in transit.
  • Covered: one-to-one emails from contact, company and deal records, sequence emails, replies, and templates or snippets used in a one-to-one email. Not covered: HubSpot marketing emails and automated workflow emails, which HubSpot sends from its own servers.
  • Before you go live, clear each rep's HubSpot CRM signature, or recipients get two signatures.
  • Per-rep booking links come from a custom Smart Field or a Calendly, Chili Piper or Cal.com sync. Banner clicks reach HubSpot through per-rep UTM parameters.

If you run marketing or RevOps at a company with a sales team on HubSpot, you have probably seen it: one rep's signature still has last year's logo, another has a 2,000-pixel headshot, a third has no phone number. Every HubSpot user manages their own signature, so the signature on your highest-intent emails, the ones reps send to open deals, is the one you control least.

This guide explains how to put one centrally managed signature on every rep's HubSpot sales email, using the mailbox HubSpot already sends through. It covers exactly which HubSpot emails get the signature and which don't, how to handle booking links and banners, and the four-step setup. For the native, per-user HubSpot settings, see our step-by-step guide to adding and managing email signatures in HubSpot CRM.

Why do HubSpot signatures drift across a sales team?

HubSpot's signature setting belongs to the user. Each person opens their own settings, pastes or types a signature, and saves it. That design causes four predictable problems at team scale:

  • No central control. An admin can't edit another user's signature or push one template to everyone. HubSpot's own documentation on marketing emails notes that "each contact owner can customize their own signature. You cannot edit another user's signature" (HubSpot Knowledge Base).
  • Two places to maintain. Reps also send from Gmail or Outlook directly, with a different signature set there. A rebrand means updating both, for every rep.
  • Multiple signatures cost more. Creating more than one signature, or a different default per connected inbox, needs Sales Hub Professional or Enterprise and an assigned Sales Seat.
  • Data goes stale. Titles, phone numbers and booking links are typed by hand, so they stay wrong until the rep notices.

None of this is a HubSpot bug. HubSpot is a CRM, not a signature management tool. The fix is to manage the signature where the email actually leaves your company: the mail server.

How does Scribe add signatures to HubSpot sales emails?

To be clear up front: Scribe is not a HubSpot app, and there is nothing to install in HubSpot. Coverage comes from how HubSpot sends email.

When a rep connects their individual work email, HubSpot says this gives it "permission to send emails to your contacts using your company's email servers". That connection is what HubSpot uses for one-to-one emails from the CRM and for sequences. Scribe's HubSpot documentation describes the path each email then takes:

  1. A rep sends an email from HubSpot. It can be a one-to-one email from a contact, company or deal record, a sequence step, or a reply.
  2. HubSpot hands it to the rep's mailbox. The email leaves through the connected Google Workspace or Microsoft 365 account, not through HubSpot's servers.
  3. Your server-side rule routes it to Scribe. The Google Workspace content compliance rule or the Microsoft 365 mail flow rule treats it like any other outbound email.
  4. Scribe adds the signature, choosing the right variant for the context, such as a shorter reply signature. Then the message is delivered.

This is the same server-side installation that covers every device and app for Google Workspace and Microsoft 365, including Gmail on Android and Apple Mail. One setup gives a rep the same signature in Gmail, in Outlook, on their phone and in HubSpot. Our Google Workspace email signatures guide and Microsoft 365 email signatures guide explain the server-side setup in detail.

Two conditions apply. Server-side installation must already be live, and setting it up needs IT support. And the From address must belong to a teammate whose Scribe signature is installed. An email sent from an address Scribe doesn't know goes out without a signature.

Which HubSpot emails get the signature, and which don't?

The rule from Scribe's documentation is simple: if the email goes out through a rep's connected Google Workspace or Microsoft 365 inbox, it gets a signature.

Email sent from HubSpotScribe signature added?
One-to-one emails from a contact, company or deal recordYes
Sequence emailsYes
Replies sent from HubSpotYes
Templates and snippets used in a one-to-one emailYes
Marketing emailsNo
Automated workflow emails sent by HubSpotNo

Marketing and workflow emails never pass through your mail servers, so your server-side rule never sees them. If your marketing emails are sent "from" the contact owner, HubSpot can insert the owner's signature with the Contact owner > Signature personalization token (HubSpot Knowledge Base). That token reads the HubSpot CRM signature, not the Scribe one. Keep that in mind in the setup step below, where you clear CRM signatures.

Sequences themselves need a Sales Hub or Service Hub Professional or Enterprise subscription and a seat (HubSpot Knowledge Base). Whatever your tier, if HubSpot sends the email through the connected inbox, the table above applies.

Why reps don't see the signature in HubSpot

The signature is added after the email leaves HubSpot, so it doesn't appear in the HubSpot compose window. The copy logged on the HubSpot record, and the one in the rep's Sent folder, is the version from before Scribe processed it. The recipient always gets the signature. HubSpot open and click tracking keeps working, because HubSpot adds it before the email leaves the inbox, and clicks on links in the Scribe signature show up in Scribe analytics.

How to set it up in four steps

This assumes Scribe's server-side installation is already live for Google Workspace or Microsoft 365. If it isn't, start there. Server-side is available on Scribe's Business and Enterprise plans (plan comparison).

  1. Connect each rep's inbox to HubSpot. In HubSpot, click the settings icon, go to General, then the Email tab, and connect the rep's Google Workspace or Microsoft 365 address. This is what makes HubSpot send through your mail servers.
  2. Remove the HubSpot signature. Under Settings > General > Email > Manage email signatures, clear the signature and save. If reps have multiple HubSpot signatures, clear each one, including the default assigned to each connected inbox. Otherwise recipients get two signatures.
  3. Install team signatures in Scribe. From your signatures list, install all signatures at once or one team at a time for a progressive rollout. Each rep's email address in Scribe must match the inbox they connected to HubSpot.
  4. Send a test from HubSpot. Send a one-to-one email from a contact record to an address you can check. Open it on the recipient's side: the signature should be at the bottom, and the message headers should include X-Scribe-Processed: Processed.

Two checks before step 2. First, ask your marketing team whether any marketing emails use the Contact owner > Signature token, because clearing CRM signatures leaves that token with nothing to insert. Second, tell reps the change is coming, so they don't re-add a HubSpot signature when they notice it "disappeared" from the compose window.

If the email arrives without a signature

Check these in order, as Scribe's troubleshooting guide recommends:

  • The inbox is still connected. A password change can disconnect it. Reconnect it under Settings > General > Email.
  • The From address matches the rep's email address in Scribe.
  • The signature shows as installed for that rep in Scribe.
  • It wasn't a marketing or workflow email. Those never get a Scribe signature.

A rep's signature is the easiest place for a "Book a meeting" button. The challenge is that every rep has a different link. Scribe fills it in per person in one of two ways (Smart Fields documentation):

  • HubSpot Meetings links: create a custom Smart Field of kind Link with Scribe as the data source, then fill each rep's meetings URL in bulk, by CSV, or by inviting reps to enter it. Scribe doesn't sync from HubSpot, so you update this field when a link changes.
  • Calendly, Chili Piper or Cal.com: connect the Calendly, Chili Piper or Cal.com integration on a paid plan, and booking links sync automatically, once a day or on manual refresh.

If a rep has no link, Scribe drops the button from their signature and closes the layout around it, so one template works for the whole team.

Banners and click tracking in HubSpot

Because the signature is managed centrally, marketing can run campaign banners on every rep's HubSpot sales email: a case study for enterprise reps, a webinar for SDRs, an end-of-quarter offer for AEs. You change the banner once and it updates everywhere. On replies, you can switch the banner off with a lighter reply variant so long threads stay clean. Our banner campaigns guide covers targeting and scheduling.

Scribe reports views, clicks and click-through rate by signature, campaign and teammate. To see those clicks inside HubSpot, add UTM parameters to signature links, with a Smart Field in utm_content so each rep's clicks are separate. HubSpot's tracking code then records the visit and the contact's traffic source. For pipeline-level reporting, Scribe's conversion tracking and webhooks can push conversions into HubSpot deals with your own code or Zapier, Make or n8n. Both methods are explained step by step in our guide to tracking signature banner clicks in HubSpot and Salesforce.

What about reps who also use Salesforce, Outreach or Salesloft?

Many sales teams run HubSpot next to a sales engagement tool, or are midway through a CRM migration. Scribe has its own client-side integrations for Salesforce (web), Outreach and Salesloft, and server-side covers any other tool that sends through the rep's mailbox. Our overview of email signatures for sales teams using a CRM compares coverage tool by tool, and the Salesforce email signature guide covers the Salesforce setup.

If your team is still on HubSpot's free generator for the design itself, our HubSpot email signature generator guide shows how to move that design into a managed template.

Frequently asked questions

Does Scribe have a HubSpot integration?

No, and it doesn't need one. When a rep's Google Workspace or Microsoft 365 inbox is connected to HubSpot, HubSpot sends their sales emails through that mailbox. Scribe's server-side installation adds the signature as the email leaves your mail servers. There is nothing to install in HubSpot.

Do HubSpot sequence emails get the Scribe signature?

Yes. Sequence emails sent through a rep's connected Gmail or Outlook inbox get the signature, as long as server-side installation is live and the From address belongs to a teammate with an installed Scribe signature. The same applies to one-to-one emails, replies, and templates or snippets used in a one-to-one email.

Can Scribe add signatures to HubSpot marketing emails?

No. HubSpot sends marketing emails and automated workflow emails from its own servers, so they never pass through your mail servers and your server-side rule never sees them. To promote content on sales emails instead, use a campaign banner in your Scribe signatures.

Why do my recipients see two signatures?

HubSpot added its own CRM signature on top of the Scribe one. Clear the signature under Settings > General > Email > Manage email signatures for each rep. If you use multiple HubSpot signatures, clear each one, including the default signature assigned to each connected inbox.

Why can't reps see the signature in HubSpot or in their Sent folder?

The signature is added after the email leaves HubSpot, so the compose window, the copy logged on the HubSpot record and the Sent folder show the version from before Scribe processed it. The recipient always receives the signature. Check a received email, or look for the X-Scribe-Processed header.

Does HubSpot email tracking still work with Scribe?

Yes. HubSpot adds its open and click tracking before the email leaves the connected inbox, and Scribe passes the message, recipients, subject and attachments through unchanged. Clicks on links in the Scribe signature are tracked in Scribe analytics.

Create a custom Smart Field of kind Link in Scribe, then fill each rep's HubSpot Meetings URL manually, by CSV, or by inviting reps to enter it. Scribe doesn't sync data from HubSpot. If you use Calendly, Chili Piper or Cal.com, those integrations sync booking links automatically on paid plans.
